Position Summary::Rowan-Cabarrus Community College is seeking a full-time Administrative Assistant within the office of Academic Programs. This position reports to the Associate Vice President (VP) of Academic Programs.
The Administrative Assistant is responsible for providing complex administrative support to an executive in the organization, coordinate daily functions of the office, including facility management, administrative operations, and technical support. Responsibilities include maintaining and coordinating the executive’s calendar, editing reportable content, preparing and maintaining audit documentation within Academic Programs, supporting other senior leadership team members as needed, and other duties as assigned.
Required Education/Experience::Preferred Education/Experience/Skills::Other Knowledge, Skills and Abilities::- Knowledge of: customer service principles; basic principles and practices in assigned area of responsibility; modern office procedures, methods and equipment; basic filing and record keeping principles; English language, grammar and punctuation; data review techniques; computers and related software applications.
- Skill in: composing routine correspondence, memos, forms and/or other related information; maintaining files and databases; providing customer service; proofreading and editing documents; processing and reviewing data; prioritizing work; interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc.
- Political and social sensitivity; excellent technical skills; strong organizational skills; ability to maintain confidentiality.

Work Hours::8:00 a.m. – 5:00 p.m., Monday – Friday. Evening and/or weekend hours will be required on occasion as needed.

Duty and Responsibility::- Planning: develops and proposes program plans for department, which includes: maintaining departmental alignment to ensure overall College goals; documenting program goals and initiatives; monitoring and evaluating program compliance with applicable goals and intended results; and, performing other related activities.
Duty and Responsibility::- Communications: fully responsible for all communications from Academic Programs, including distance learning, scheduling, EVA’s, faculty communications and deadlines; additionally provide communication support to the Associate VP of Academic Programs
Duty and Responsibility::- Collaboration: Represent Academic Programs and serve as a liaison with other divisions of the college by providing coordination, service on college committees; act as a representative of Academic Programs with external and internal entities
Duty and Responsibility::- Administrative: Prepares, reviews, and submits a variety of reports, work papers, contracts, communications, schedules, and/or statements to and from internal departments, external agencies, and/or other applicable organizations, including documents for accreditation purposes.
Duty and Responsibility::- Scheduling: Performs a variety of administrative activities, which may include, but is not limited to, making travel arrangements; scheduling and coordinating of day-to-day meetings and/or events; transcribing meeting minutes; preparing and reviewing financial and/or statistical reports; and planning and coordinating schedules; Manages executive calendars including scheduling external business meetings and social events; provides related project management support. Coordinates building and facility use requests.

Duty and Responsibility::- Travel: responsible for planning executive travel and completing all required documents through the appropriate College channels.
