Job Purpose:
The Part-Time Benefits Specialist is an impactful role within the organization, focusing on the administration and management of employee benefits programs, including healthcare and retirement plans. Reporting to the Benefits Manager, this individual ensures that the University of Western States’ benefits programs are compliant, efficient, and aligned with the institution’s strategic goals. This role also supports the development and execution of a comprehensive benefits strategy for the University of Western States and The Community Solution Education System.
The individual in this role is responsible for collaborating with internal stakeholders and external partners to maintain compliance, oversee reporting, and provide exceptional service to employees. They play a key role in ensuring that the TIAA retirement plan is managed effectively, while supporting broader initiatives that enhance employee wellbeing and benefits satisfaction. By contributing to innovative strategies and process improvements, the Part-Time Benefits Specialist helps optimize the organization’s benefits offerings to meet the evolving needs of its workforce.
This position requires a blend of technical expertise, attention to detail, and collaborative skills to support the delivery of high-quality benefits programs. The role is critical in bridging the gap between local operational needs and system strategic objectives, ensuring that benefits programs are not only functional but also impactful and scalable for future organizational growth.
Position responsibilities include, but are not limited to:
TIAA Retirement Plan Oversight:
- Collaborate with internal stakeholders and external partners to oversee the reporting and compliance needs of the TIAA retirement plan.
- Ensure accurate and timely submissions of required documentation and compliance reports.
Compliance and Reporting:
- Monitor compliance with federal, state, and local regulations, including ERISA, HIPAA, ACA, and others as applicable.
- Prepare and maintain detailed reports related to benefits plans, including healthcare and retirement metrics.
Benefits Administration:
- Assist in the administration of healthcare and retirement benefits programs, ensuring smooth day-to-day operations and exceptional employee support.
- Provide direct support to employees with inquiries related to benefits enrollment, eligibility, and claims resolution.
Strategic Support:
- Partner with the Benefits Manager to execute a comprehensive benefits strategy tailored to the needs of the University of Western States and The Community Solution Education System.
- Contribute to process improvements and innovative initiatives that enhance employee engagement and satisfaction with the benefits programs.
Collaboration:
- Work closely with HR team members and other departments to ensure a seamless employee benefits experience.
- Act as a liaison with benefits vendors and service providers to address escalations and optimize service delivery.
Required Qualifications:
Knowledge and Skills
- Technical Skills:
- Strong understanding of benefits compliance regulations and reporting requirements.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and HRIS platforms.
- Experience with benefits administration tools and platforms.
- Ability to analyze and prepare detailed reports and documentation.
- Soft Skills:
- Exceptional organizational skills with keen attention to detail.
- Effective communication and interpersonal skills.
- Strong problem-solving abilities and adaptability.
- Ability to work independently and as part of a team in a fully remote environment.
Education:
- Either a Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent work experience.
- CEBS or CBP certification
Experience:
- Minimum of 2 years of experience in benefits administration, including healthcare and retirement programs.
- Familiarity with TIAA retirement plans and compliance requirements is strongly preferred.
