The University of Rochester's Office of Administration and Finance seeks an Executive Assistant to support the Executive Vice President for Administration and Finance. The Office of Administration and Finance strengthens the University’s capacity to innovate and compete, overseeing many of Rochester’s core business operations and serving as a strategic partner for University leadership.
This position works closely with all Office of the EVP staff in a fast-paced, team-oriented, high-visibility environment and acts as a liaison between the office and executives and high-level administrative staff within and outside the University. The duties of this position require the need for absolute confidentiality, professionalism and exceptional attention to detail.
The main functions of the Executive Assistant include:
- Managing the EVP’s calendar, prioritizing and scheduling based on their obligations and priorities.
- Reviewing and triaging daily correspondence and requests, ensuring timely and appropriate responses.
- Coordinating internal processes, including tracking approvals and establishing office procedures.
- Supporting the EVP Chief of Staff on governance-related projects and updates.
- Assisting with special projects, such as recruitment for office positions.
- Collaborating with the EVP’s team and senior leadership offices to improve processes and build rapport.
This position requires:
- 3-5 years of related work experience including at least 1 year in an administrative capacity; experience in higher education or executive support is preferred
- Ability to interact with a broad range of constituents, including senior executives and Trustees.
- Ability to exercise a high level of professionalism and discretion with respect to confidential and sensitive matters.
- Ability to multi-task and prioritize among competing demands and adapt to changing needs in a fast-paced environment.
- High level of proficiency with Microsoft Office applications, Zoom, and Adobe Acrobat.
