Organizational Unit Overview:
The Brody School of Medicine (BSOM) at East Carolina University, the fourth oldest medical school in North Carolina, was chartered to improve the health and well-being of the region, and to train physicians who will meet the health care needs of the state. Under the leadership of the Dean and Executive Dean, the BSOM grants both M.D. and Ph.D. degrees plus Master’s degrees in Public Health and Biomedical Sciences.
The Admissions Office at Brody School of Medicine (BSOM) is responsible for overseeing and administering the admissions program for the School of Medicine while recruiting capable medical students, who will ultimately become physicians that will meet the needs of people in North Carolina and beyond, which is vital to fulfill the school’s mission. In meeting this responsibility, the School of Medicine seeks competent, well-prepared students from all backgrounds, who have a clear commitment to medicine. Consistent with our mission, special effort is made recruit students committed to serving rural and under served communities of North Carolina.
Job Duties:
This position is responsible for directing and managing the student admissions process for the Brody School of Medicine. The Director is the key individual in the Admissions process, reporting directly to the Associate Dean. This position exercises substantial independence and continuing involvement in formulating and implementing admissions policies and procedures. The Director will assist the Associate Dean and have sole responsibility for various specific and vital operations within the Admissions Office and will assume some of the duties of the Associate Dean during their absence. This will be an At Will, 12 month position.
Specific job duties include the following:
Recruitment: (20%)Develops goals, plans and implements strategies and tactics, and evaluates recruitment program for the Doctor of Medicine at BSOM.
Leads all recruiting activities, ensuring that recruitment outcomes are achieved, particularly with respect to the School’s goal of enrolling students from varied geographical and economic groups.
Develops specifically targeted and tailored recruitment materials.
Represents the BSOM at institutions and programs across the state of North Carolina.
Develops on-site, BSOM-specific recruitment programs for prospective medical school applicants.
Informs Undergraduate Pre-Med Advisors of BSOM Admissions requirements.
Operations: (40%)Directs all aspects of admissions operations, including but not limited to program interface with: American Medical College Application Service (AMCAS), a combination of internal and national software programs for managing admissions data and application fees), the UNC System Residency Determinations Services, Certiphi (for criminal background checks).
Supervises, trains, evaluates and delegates responsibilities to support staff in the day-to-day Admissions operations.
Conducts final review of applications before they are sent for faculty review.
Makes determinations regarding completion of pre-requisite coursework and verifies NC residency, in consultation with UNC System Residency Determinations Services.
Develops schedule of Admissions Committee meetings, assigns faculty interviewers, and provides training for new Admissions Committee members.
Develops interview schedule, and supervises scheduling of applicant interviews. Directs interview day activities for applicants.
Analyzes admissions data, and prepares reports for Admissions Committee, the Dean, the University and external stakeholders – e.g., American Medical College Application Service (AMCA), Association of American Medical Colleges, (AAMC), Early Assurance (EA), Southern Association of Colleges and Schools (SACS). Identifies students for consideration for recruitment scholarships.
Develops programs to support ongoing development training for Admissions Committee members.
Benchmarks BSOM admissions operations, makes comparison with peer institutions, and develops and implements program modifications to enhance the BSOM Admissions procedures. Ensures that all admissions operations are in fully alignment with, and support the achievement of, the BSOM vision and mission.
Works collaboratively with other units within the Department of Academic Affairs and BSOM Dean’s Office in establishing and achieving enrollment goals.
Collaborates with the Administrator for Academic Affairs to development and manage the recruitment and admissions operating budget.
Supervises, evaluates and provides professional development opportunities for admissions staff.
Collaborates with financial aid, marketing and other areas in the timely, accurate and appropriate development and dissemination of information and admissions materials.
Participates in professional development appropriate to the functions of the position and professional interests.
Perform Other duties as assigned .
Communication: (15%)Manages all facets of interactions and communications with a wide range of internal and external stakeholders, including: the Offices of the Dean, pre-medical students, program applicants and their pre-health professions advisors, and enrolled students.
Provides guidance for support staff that responds to inquiries from prospective students regarding admissions requirements and professional opportunities within the medical profession; directly responds to more complex questions and unprecedented requests that support staff cannot address.
Authorizes exceptions to standard operating procedures where appropriate. Counsels unsuccessful applicants, analyzing individual students’ needs and guiding them in developing plans for future successful admission.
Job Knowledge: (15%)Possesses broad knowledge of the context of medical education. Understands the BSOM Medical curriculum and the challenges and opportunities faced by medical students on a daily basis; Has a broad knowledge of the medical curriculum at other sister institutions.
Specifically related to admissions, comprehends pre-medical course requirements and feeder institution-specific course nuances. Is familiar with the subject content and format of the Medical College Admissions Test (MCAT), and the wide range of preparatory materials and review courses available for individuals who will be taking the MCAT.
Fully understands all processes and phases of the AMCAS. Fluently uses all digital technology in current operations, and develops innovations to further leverage technology for managing admissions operations and in communicating with prospective students and other stakeholders.
Reporting: (5%)Prepares internal reports for the Associate Dean of Admissions and other stakeholders as requested by the Associate Dean.
Collaborates with the Associate Dean of Admissions to prepare and submit reports, as required, to such agencies and organizations as the AAMC, Southern Association of Colleges and Schools (SACS), Institutional Planning and Research (IPAR), Strategic Enrollment Management Council (SEM).
Compliance: (5%)
Ensures that all admissions operations processes and practices fully complywith appropriate legal, regulatory (federal, state and institutional) and accreditationstandards (e.g., Family Educational Rights and Privacy Act, Americans with Disabilities Act,HIPAA, Liaison Committee on Medical Education (LCME) and AAMC).
Contingent on the availability of funding.
Minimum Education/Experience:
Master’s degree in higher education administration, student development, organizational leadership or related field from a regionally accredited institution with at least two years of leadership experience in recruitment and/or admissions or a Bachelor’s degree with five years of progressive experience in college admissions and/or recruitment.
License or Certification Required by Statute or Regulation:
None
Preferred Experience, Skills, Training/Education:
Demonstrated experience in medical or health professions education setting, preferably in medical school or professional school (i.e. dental, law, etc). admissions or student affairs.
